Or the office version: HR distributing welfare packs desk by desk, chasing the people on leave, reconciling who collected and who didn't.
Now picture the alternative: a vending machine. Each person scans a QR code from their phone — or taps their staff pass — and the machine dispenses their gift. No queue management, no manpower, no clipboard, and a complete digital record of exactly who redeemed what and when.
That's a redemption vending machine, and it's one of the most underused tools in Singapore's corporate and events scene. We've been running these solutions for years, and the reaction is almost always the same: "I didn't know vending machines could do that."
How redemption vending works
A redemption machine looks like a regular smart vending machine, but instead of (or alongside) taking payment, it dispenses against a credential:
QR code redemption. Each entitled person receives a unique QR code — by email, SMS, WhatsApp or printed on an event badge. They scan it at the machine, the system validates it, and their item dispenses. Codes can be single-use, limited to specific items, or restricted to a time window. Once used, a code is dead, so there's no double-dipping.
RFID / pass redemption. For workplaces and schools, the machine reads existing staff passes or student cards. Tap your pass, collect your entitlement. No new credentials to issue, no codes to distribute — the access control your organisation already runs becomes the redemption mechanism.
Behind both methods sits a dashboard: live redemption numbers, what's been collected, what's still sitting in the machine, and a full audit trail at the end of the campaign.
Where this beats the manual approach
Manpower. A gift table needs staffing for the entire distribution window. A machine needs none. For multi-day events or month-long staff campaigns, that difference alone usually pays for the machine.
Hours. Machines don't keep office hours. Night-shift staff, weekend teams and people who were on leave during "collection week" all get equal access. For organisations running 24/7 operations — logistics, healthcare, manufacturing — this is the difference between a welfare programme that reaches everyone and one that reaches the day shift.
Accountability. Manual distribution produces a messy spreadsheet at best. Redemption machines produce an exact digital record. For campaigns with compliance or budget reporting requirements, that audit trail is the feature procurement teams care about most.

The experience itself. This one's underrated. Collecting a gift from a sleek machine is a small moment of delight — people film it, post it, talk about it. A queue at a folding table is not content. For brand activations, the machine is part of the campaign.
What organisations actually use this for
Staff welfare and recognition. Monthly snack entitlements, festive gifts, recognition rewards, onboarding kits. Tap your pass, collect your item. HR sets the rules once and the machine administers them all month.
Corporate and festive gifting. CNY, Christmas and company-anniversary gifts distributed over weeks instead of one chaotic afternoon, with the dashboard showing exactly who hasn't collected yet — so the reminder email goes only to the right people.
Event door gifts and activations. Registration confirmation carries the QR code; attendees redeem on-site at their convenience. Sponsors love it because the machine doubles as a branded installation in the venue.
Marketing campaigns and sampling. Brands run scan-to-sample campaigns where a social action — following an account, completing a survey, making a qualifying purchase — generates a redemption code. The machine becomes a sampling channel with built-in tracking of conversion from code issued to product collected.
Schools and institutions. Student pass redemptions for meal entitlements, achievement rewards or event collections, with the same access cards students already carry.
Branding the whole experience
The machine itself is a canvas. Full-body wraps in campaign or corporate branding, on-screen content on the display, and product presentation behind glass all turn the dispensing hardware into a marketing asset. For event activations especially, a branded machine photographs better than almost any other giveaway mechanism — and it works just as hard at 9pm as at 9am.
What it costs, in rough terms
Redemption campaigns are typically priced around the deployment: machine rental for the campaign period, setup of the redemption logic and credentials, delivery and installation, and support during the run. Short event deployments price differently from year-round staff welfare programmes, so the honest answer is that pricing follows the brief. What we can say: against the true cost of manual distribution — staffing hours, admin time, reconciliation, shrinkage — most campaigns of any real size come out ahead, and the experience upgrade comes free with the savings.
What to sort out before launching a campaign
From experience, the campaigns that run smoothly settle these early:
The entitlement logic. Who gets what, how many times, over what period? Get this precise — the system will enforce exactly what you configure.
Credential distribution. QR by email or WhatsApp? Existing staff passes? Printed on badges? Match the method to how your audience already operates.
Item suitability. Machines dispense items within certain size and fragility limits. Locker-style machines extend the range to bulkier gifts. Confirm your gift fits the hardware before ordering five thousand of them.
Placement and power. A high-visibility spot with a standard power point. For events, confirm the venue's delivery access and floor loading.
